01 Who I am
Jack Zvaigzne, a sole trader offering product design engineering. I am responsible for your personal information. Contact: jackzvaigzne@pm.me
02 What I collect and why
- Enquiries: your name, email, company and project details, to reply to you.
- Clients: contact and billing details, contracts and project files, to deliver the work and invoice you, and any feedback you give at the end, to improve how I work.
- Newsletter: your email, your name if you give it, and whether you open and click each email, to send you my newsletter on Substack. Comments you post there are public.
- Website: the site sets no cookies and runs no analytics. The host keeps short-lived technical logs to keep the site secure.
- Partners and suppliers: the work contact details of people at businesses I might work with, such as prototyping bureaus, manufacturers and incubators. I find these on their own websites or professional profiles, or someone introduces us. I use them to talk about working together, and delete them after two years with no reply, or straight away if you ask.
You don't have to give me anything, but I need your name and email to reply, and billing details to invoice you.
I get this information from you, from a colleague or someone who introduced us, or, for partners and suppliers, from your business's public website or professional profile.
My lawful bases are contract (doing the work you asked for), legal obligation (keeping accounts for HMRC), legitimate interests (answering enquiries, learning from project feedback, keeping records in case of a dispute, keeping the site secure and contacting partners) and consent (sending you the newsletter you subscribed to, and showing your project or quote in my portfolio, both of which you can withdraw at any time). I never add clients, enquiries or partners to the newsletter.
03 Who I share it with
Only the services I use to run the business: email and file storage, e-signature, bank, accountant, insurer, website host, Substack (which sends the newsletter and has its own privacy policy at substack.com/privacy) and AI tools on paid plans that don't train on your data (only where our contract allows), plus HMRC where the law requires. Some store data outside the UK (Switzerland, the EU and the USA) under UK-approved safeguards. I never sell your information or use it for automated decisions.
04 How long I keep it
Enquiries that don't go ahead: 12 months. Client files, contracts and feedback: the contract plus 6 years. Invoices and accounts: 6 years. Newsletter: while you're subscribed, and removed within a month of unsubscribing. After that it is deleted.
05 Your rights
You can ask for a copy of your information, or ask me to correct it, delete it, limit or stop its use, or send it to someone else. To stop the newsletter, click unsubscribe in any email. For anything else, email me and I'll reply within one month.
06 Your right to object
Where I use your information because of my legitimate interests (answering enquiries, learning from project feedback, keeping records in case of a dispute, keeping the site secure, and contacting businesses about referrals), you can object at any time. I'll stop unless I have a compelling reason to carry on, such as defending a legal claim. To object, email jackzvaigzne@pm.me.
